SCNA annual meeting will now be held in April

At our recent November board meeting, a motion was made to amend our bylaws and change the month of our annual meeting from February to April instead.

There wasn’t a quorum at the November meeting, so board members later voted via email to approve the change.

Why hold the annual meeting in April?

This change will allow us to hold our annual meeting after the City of Olympia awards its grants to neighborhood associations, meaning we can now be reimbursed by the city for the costs of putting it on, including the mailing to publicize it.

Since our annual meeting took place in February, prior to when the city’s neighborhood grants are awarded, we weren’t able to include the meeting costs in our grant application and be reimbursed for them.

Last year, we covered the costs of the annual meeting and the summer picnic with money we received from contributions. Suggested dues are $15 a year (but whatever amount you can give is appreciated). Dues help pay for our website, post office box fees and also help cover other activities we may put on during the year. Members of our board serve voluntarily without compensation for their time and effort.

Annual Meeting in 2025

At the annual meeting, we are required to do six things:

  • Read a summary of the minutes of the last board meeting
  • Give reports (President and Treasurer)
  • Elect new board members or re-elect current ones
  • Transact other business mentioned in the meeting notice
  • Adjourn

The meeting is open to anyone to attend. But we must have a quorum of at least 25 neighborhood association members in order to elect or re-elect the board and take votes on any other matters. We now have about 140 members, but would love to have more!
